Clinic Policy
Welcome to Alive Chiropractic Poundbury
At Alive Chiropractic, we are committed to providing the highest quality care and a smooth experience for all our clients. To ensure fairness and efficiency for everyone, we have established the following policies:
Appointment Cancellation and Rescheduling Policy
24-Hour Notice Required
We kindly ask that you provide at least 24 hours’ notice if you need to cancel or reschedule your appointment.
This allows us to offer the time slot to another client in need
Late Cancellations and No-Shows
Appointments cancelled with less than 24 hours’ notice, or missed without any notice, will incur a full charge.
This policy applies to all non-emergency cancellations.
Emergency Exceptions
We understand that genuine emergencies or unavoidable situations may arise. In such cases, please let us know as soon as possible, and we will evaluate your situation to waive any fees.
Late Arrivals
Arriving Late (Within Appointment Time)
If you arrive late for your scheduled appointment, we will do our best to accommodate you within the remaining time OR – if the next client is already waiting – assign your slot to the next client. This means you may have to wait a few minutes to avoid disrupting other appointments.
Arriving Late (Exceeding Appointment Time)
If you arrive so late that the appointment cannot proceed, we will still try our best to accommodate you, but it some cases it will be considered a no-show, and the cancellation policy will apply.
Payment and Refund Policy
Payment Due at Time of Service
Payment for all services is due at the time of booking, unless prior arrangements have been made.
Prepaid Packages and Deposits
Prepaid packages and deposits are non-refundable but may be applied to rescheduled appointments if cancelled within the 24-hour window.
Should the client decide to pause or interrupt care, any unused sessions within a prepaid package will be refunded. Refund requests must be submitted in writing and will be processed within 30 days of the request.
Direct Debit Arrangements
Clients who choose the direct debit option for payments retain full control over this arrangement. Direct debit agreements do not bind the client in any way and can be adjusted or paused at any time.
Maintenance clients, or those who wish to temporarily pause payments due to holidays or other personal reasons, are welcome to contact the clinic for assistance in modifying or suspending their direct debit arrangements. Our team will be happy to support you in making these changes.
Respect for Staff and Other Clients
Behavioural Expectations
We ask all clients to treat our staff and other clients with respect. Disruptive or inappropriate behaviour may result in refusal of service.
Cleanliness, Hygiene and Illness
For the safety and comfort of everyone, we politely ask clients to adhere to basic hygiene standards before arriving for appointments.
If you are ill, have the symptoms of a cold/flu or any other contagious illness, do not come to the clinic. Call to re-schedule your appointment and rest assured you will not lose your session.
Confidentiality
- All client information is kept strictly confidential in accordance with privacy laws. Your trust is important to us.
